Downloadable reports let you export a structured summary of your subscriptions — useful for expense reviews, tax preparation, or sharing with a finance professional. Reports are available on the Business plan ($50/month).
If you’re on the Free, Personal, or Family plan, you’ll need to upgrade to Business to access downloadable reports. See compare plans for a full feature breakdown.

What reports include

Each report covers the subscriptions in your account at the time of export. Reports contain:
  • Subscription name and category
  • Full cost and billing cycle
  • Cost offsets (shared costs and reimbursements) and your effective cost
  • Start date, renewal date, and status (active or cancelled)
  • A summary row with totals for subscription count, full cost, offsets, and your cost

Filtering your report

Before downloading, you can narrow the data using the filters at the top of the Reports page:
  • Time period — choose a preset (30 days, 90 days, 12 months, all time) or set a custom date range.
  • Category — limit the report to a specific category.
  • Status — show active subscriptions, cancelled subscriptions, or both.
The summary row at the top of the table updates as you apply filters, so you can see totals for the current view before exporting.

How to download a report

1

Open the dashboard

Sign in to SubLedger at app.mysubledger.com and go to your dashboard.
2

Navigate to Reports

Select Reports from the dashboard navigation.
3

Apply filters

Use the time period, category, and status filters to narrow your report to the data you need.
4

Choose a format and download

Click the export button and select your format: CSV, XLSX (Excel), or PDF. The file saves to your device immediately.
CSV is best for importing into other tools. XLSX preserves formatting for spreadsheet review. PDF generates a formatted table suitable for sharing with a bookkeeper or attaching to an expense report.

Bookkeeper access

The Business plan also includes bookkeeper access, which lets you invite a bookkeeper or accountant to view your subscription data directly — no need to forward files manually.
1

Go to Account settings

Open Settings from the top navigation in SubLedger.
2

Find the Bookkeeper access section

Scroll to the Bookkeeper access section within your account settings.
3

Invite your bookkeeper

Enter your bookkeeper’s email address and click Send invite. They’ll receive an email with instructions to access your reports.
Bookkeeper access grants view-only access to your subscription data and reports. Your bookkeeper cannot edit or delete subscriptions on your behalf.

Upgrading to Business

If you’re not yet on the Business plan, you can upgrade from your account settings at any time.
